Job title: IASA Coordinator
Annual Workload: approximately 200 hours annually
Accountable to: IASA Executive Board, with functional oversight by Secretary General

Job purpose: Position will work with the Secretary General and IASA Executive Board to support coordination of annual activities and support key projects undertaken by IASA.
Background
The International Association of Sound and Audiovisual Archives seeks a coordinator to support day-to-day operations. IASA is a professional association concerned with the care, access and long-term preservation of the world’s sound and moving image heritage. Through its active worldwide membership and training initiatives, IASA supports and advocates the development of best professional standards and practice amongst organisations and individuals which share these purposes.
Key areas of responsibility
- Ensure smooth operations of the association and maintain continuity in the annual calendar of activities.
- Help plan and execute the annual conference.
- Support efforts to promote IASA, its mission, and goals.
- Liaise with external bodies and partners, including sibling organisations and the professional community.
- Seek opportunities for partnerships for the organisation and its activities.
Responsibilities may include the following areas and tasks:
- Operational Management
- Provide operational continuity for board members and maintain relevant documentation.
- Deal with miscellaneous general emails and coordinate with relevant Executive Board members.
- Assist with coordination of key IASA projects as needed.
- Maintain professional relationships and contact with IASA’s various sections, committees, branches and task forces.
- Assist in coordinating the Annual Conference
- With IASA Vice-president for Conferences, schedule Planning and Programme Committee meetings.
- Organise and coordinate online elements of the conference
- Receive, review, and organise conference videos and slides; assist with archiving materials after the event.
- Participate as needed on select IASA Annual Conference Planning and Programme Committees.
- Update and ensure dissemination of guidelines needed for presenters, moderators and other attendees.
- Outreach and Promotion
- Assist the Vice President for Communications with maintaining and implementing an established organisational communications plan.
- Assist the Vice President for Membership with annual membership drives and renewals.
- Provide consistent and regular social media presence.
Minimum requirements (essential)
- Ability to communicate clearly and persuasively in English.
- Competency in working with colleagues from different cultural backgrounds.
- Demonstrable experience working in an audiovisual archival institution, equivalent environment, or in a relevant professional or trade association.
- Excellent organisational and multitasking skills.
- Knowledge of Google Suite, Zoom video conferencing and other online technologies.
Additional qualifications (desirable)
- Strong communication skills in languages other than English.
- A working familiarity with IASA as a professional body.
In this position, and as a representative of IASA, you are expected to follow the organization's code of Ethics and code of Conduct. This position will help foster and support inclusive approaches to efforts and approaches.
Position details
- One-year initial term with potential to renew contract.
- Estimated 200 hours per year, in addition to in-person or online attendance at the annual conference, mid-year Executive Board meeting and occasional additional online meetings.
- Fully remote work.
Compensation
- €6,000 annual stipend paid in four quarterly payments. Should the position be required to travel on behalf of IASA, approved travel costs will be reimbursed.
