Conference Host Responsibility

  • Conference Main Theme and sub topics (in cooperation with IASA EB)
  • Conference Program (in cooperation with VP for conferences
  • Arranging for conference venues, halls, meeting rooms
  • Suggesting hotels and other accommodation
  • Opening reception, closing banquet (separate fee), coffee and refreshment breaks
  • Translation services in required
  • Tours to local AV institutions
  • Finances:
    • drawing up and budget
    • determining registration and other fees
    • estimating income and expenses
    • arranging for grants from national and local government, regional agencies such as regional UNESCO committees
    • arranging for commercial displays
    • supporting travel for local delegates and assisting others if possible
    • Printing and mailing of the conference preliminary program including local information
    • Printing of the final program
    • Arranging for the delegate bags and badges
    • A conference office and facilities where delegates will have access to phones, fax, computers, photocopiers, etc.
    • Creation and maintenance of the conference web site
    • Local Promotion
    • Local Dignitaries and Officials
    • Communicating with the IASA EB
    • A report following the conference on the experience providing conference details and suggestions.

    IASA’s responsibilities:

    • Selecting and approving conference hosts, joint conferences
    • Conference Main Theme and sub topics (in cooperation with local organizers)
    • Conference Program (in cooperation with local organizers)
    • Call for Papers (Handled by IASA Vice President: conference programme)
    • Providing a current mailing list o Applying for funds from UNESCO (Paris)
    • Confirming participation of and soliciting abstracts and biographical material from speakers
    • Financial and travel assistance to speakers and conference delegates
    • Communicating with conference hosts
    • Publishing and 'marketing’ of the conference in the Bulletin, listserv and web site.
